Office Administrator

Camp Ramah in Canada is hiring a full-time Office Administrator to join our year-round team. This critical role ensures the smooth operation of our Toronto office throughout the year and supports our camp office in Utterson, Ontario during the summer. Reporting to the Co-Directors, the Office Administrator will provide administrative support across multiple departments, liaise with camp families and vendors, manage databases, and contribute to the success of our programs and events.

This is a hybrid position based in Toronto, working 10 months in the Toronto office and 2 months on-site at camp during the summer.

Key Responsibilities:

Office Management & Administrative Support

  • Manage the day-to-day operations of the camp offices in both Toronto and at camp.

  • Provide administrative support to senior leadership and year-round staff.

  • Manage office supplies, mail distribution, and vendor relationships (e.g. phones, building, cleaning services).

  • Send out and track staff contracts and work permits and update their files.

  • Support Board meetings, annual events, and other special projects as needed.

Camper & Family Support

  • Serve as the first point of contact for camp families, providing excellent customer service via phone and email.

  • Manage camper registration, forms, and family records using CampMinder. Manage the application process for campers and staff, scholarship applications, creating reports, forms, lists as needed, and open and close seasons.

  • Assist with parent communications, transportation logistics, luggage coordination, and special camp days.

Qualifications:

  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities.

  • Excellent written, verbal, and interpersonal communication skills.

  • Comfortable working both independently and collaboratively within a small, dynamic team.

  • High level of integrity, discretion, patience, flexibility, and a positive attitude.

  • Strong proficiency in Google products (Docs), Microsoft products (Excel, Outlook) and comfort with learning new software systems (experience with CampMinder, Blackbaud, and QuickBooks is an asset).

  • Bachelor’s degree and/or 2-3 years of experience in an administrative role.

  • Familiarity with Jewish camping or non-profit organizations is preferred.

Salary & Benefits:

  • Salary Range: $55,000 – $65,000

  • Hybrid work model (Remote in Toronto, with summer on-site at camp)
