Assistant Director of Operations

Location: Chicago, IL (year-round) with limited time in Conover, WI during the summer 

Reports to: Director of Operations 

Role Overview: 

The Assistant Director of Operations is a key operational partner to the Director of Operations, supporting the day-to-day infrastructure and long-term systems that enable Camp Ramah in Wisconsin and Ramah Day Camp to run smoothly year-round. This role combines hands-on execution with ownership of operational processes, including enrollment systems, travel logistics, financial workflows, and data management. 

The Assistant Director of Operations serves as a primary point of contact for camper families, prospective families, and external community members, delivering high-quality, responsive, and compassionate customer service. This role ensures families receive timely support throughout the enrollment, billing, and camp preparation process, while also supporting internal operational, financial, and system needs. The Associate plays a critical role in creating a positive, welcoming experience that reflects Camp Ramah’s values from first inquiry through the summer season. 

What You’ll Do: 

  • Operational Leadership & Systems 

  • Partner with the Director of Operations to advance cross-organizational operational priorities 

  • Own discrete operational projects related to systems, finance, data/reporting, and process improvement 

  • Evaluate existing workflows and implement improvements in collaboration with internal stakeholders 

  • Develop working expertise in core systems including CampMinder, Salesforce, and QuickBooks 

  • Enrollment & Family Experience 

  • Serve as a primary point of contact for camper families, delivering responsive, clear, and compassionate support 

  • Manage incoming phone, email, and web inquiries, resolving issues directly when possible and routing appropriately when needed 

  • Support camper enrollment and retention efforts, including outreach to returning families and coordination of new inquiries 

  • Manage enrollment data, applications, and reporting to ensure accuracy and readiness year-round 

  • Guide families through enrollment systems, forms, financial aid, billing, and camp preparation 

  • Finance & Billing Operations 

  • Serve as a customer-facing liaison for billing questions and payment support 

  • Manage monthly billing processes and family payments with attention to clarity, confidentiality, and follow-through 

  • Support camper financial aid administration and coordination 

  • Assist with audits, reconciliations, deposits, and summer payroll administration as needed 

  • Summer Operations & Logistics 

  • Lead camper and staff travel logistics for overnight camp and support day camp transportation needs 

  • Communicate travel plans and expectations clearly to families 

  • Serve as a year-round team representative at Chicago-area bus stops and airports during the summer 

  • Support on-site summer operations in coordination with senior staff 

  • Additional Responsibilities 

  • Support Ramah Day Camp with operational and summer office needs 

  • Collaborate with year round team members on special projects as they arise 

  • Take on additional responsibilities assigned by direct supervisor

 Compensation & Benefits: 

  • Salary range: $65,000-$70,000
